Anderson Knight is delighted to be recruiting on behalf of our client, a leading professional services firm based in Edinburgh, for an experienced Professional Services PA.
This is an excellent opportunity to join a highly regarded organisation, providing first-class PA, administrative and secretarial support within a busy, collaborative and fast-paced environment.
You’ll play a key role in supporting senior professionals, ensuring the smooth day-to-day running of the team while delivering an exceptional level of service to both internal and external stakeholders.
Salary: Up to £33,000 DOE
Location: Edinburgh
Working Pattern: Hybrid – 50% office-based over a two-week period
Key Responsibilities
- Proactively manage complex diaries, meetings, travel arrangements, room bookings and associated logistics.
- Prepare, amend and format correspondence, reports, presentations and other business documentation using Microsoft Office and document management systems.
- Support client onboarding and administrative processes, including preparing engagement documentation and completing compliance-related administration.
- Monitor and manage inboxes, prioritising communications and ensuring timely responses during periods of absence.
- Coordinate billing processes, invoice production, expense claims and client portal requirements.
- Build and maintain strong relationships with clients, acting as a professional first point of contact.
- Organise meetings, prepare agendas, coordinate actions and take minutes where required.
- Maintain accurate records, databases and document management systems.
- Coordinate training, team events and provide additional administrative support as required.
- Liaise with internal departments including Finance, IT, Marketing, Facilities and Reception to ensure efficient service delivery.
- Provide wider support across the PA team, working collaboratively to maintain a high standard of client service.
Skills & Experience
- Previous experience as a PA, Executive Assistant or Senior Administrator within a professional services environment.
- Strong organisational skills with the ability to manage multiple priorities and work to tight deadlines.
- Excellent attention to detail with a high level of accuracy.
- Confident communicator with excellent interpersonal and relationship-building skills.
- Proactive, adaptable and able to work effectively both independently and as part of a team.
- Strong IT skills, including Microsoft Word, Excel, Outlook and PowerPoint.
- Experience within a legal or other professional services environment would be desirable but is not essential.
